Bank reconciliation that ties your till to your bank statement

Import the statement you download from net banking, let Orbit clear what it is sure of, and finish the BRS in minutes — with drawer cash moving to the safe under a manager’s PIN, and every rupee in the ledger.

Bank statement reconciliation

From statement file to a tied BRS

Built on Orbit’s own double-entry ledger, so the book side is already there — every sale, receipt, payment and expense your shop records.

Import the statement you already download

Download a CSV from net banking and import it. Orbit reads the column names Indian banks use — Narration, Withdrawal, Deposit, Closing Balance or one signed Amount — and Indian figures like 1,68,000.00.

Overlapping files are safe

Import last month again, or two downloads that overlap: lines already in Orbit are skipped, and two genuinely identical payments on one day are both kept.

Auto-match that never guesses

A statement line clears a book entry of the same amount within five days — only when exactly one entry fits. Anything with two candidates is left for a person, so nothing is cleared wrongly.

Match the rest by hand

Pick the entry a line belongs to, or unmatch one. Every line shows whether the machine or a person cleared it, for when the auditor asks.

Book what only the bank knows

Bank charges, interest, a direct credit: book the line into your ledger from the statement in one step, and it is matched as it is booked.

Bank reconciliation statement (BRS)

Statement balance on one side, book balance on the other, and every difference listed — deposits not yet credited, cheques not yet presented — until the two tie.

Cash control

Cash that is counted twice and logged once

Most shops lose money in the drawer, not in the books. Pickups, floats and the safe close the gap between the two.

One switch for the whole shop

Settings → Invoice & Billing → Cash & Bank control. Off by default, so a single-counter shop never sees extra steps. Only a manager or the owner can change it.

Pickups to the safe, signed by two

Surplus cash leaves the drawer for the safe with a slip number. A manager or the owner counts it with the cashier and enters their PIN — the cashier can never approve their own pickup.

Floats back to the drawer

Change for the evening comes from the safe the same way. Orbit refuses to give out more than the safe holds, or pick up more than the drawer should hold.

The safe is in your books

Cash in Safe is its own ledger account, beside Cash in Hand and Bank. Every pickup and float is a balanced journal entry, so the trial balance always agrees.

Drawer limit at the till

Set a limit — say ₹20,000 — and after a sale that takes the drawer past it, the till shows a banner with a Pickup button. It never blocks a bill.

A log nobody can tidy

Every pickup, float and change to the cash limits is written to an audit log with who did it and who approved it. The log cannot be edited or deleted.

A month, start to finish

How a shop reconciles with Orbit

  1. 1

    Switch it on

A manager turns on Cash & Bank control and sets the drawer limit. Bank Reconciliation appears in the menu.

  2. 2

    Bill as usual

Cash and UPI sales post to the books as always. Past the limit, the till asks for a pickup.

  3. 3

    Import the statement

Download the month’s CSV from net banking and import it. Auto-match clears the entries it is sure of.

  4. 4

    Clear the rest

Match the leftovers, book the bank charges, and read the BRS until book and bank agree.

Who uses it

Shops with real cash, and the businesses that supply them

Retail shops switch it on. Distributors and manufacturers have it as standard.

Owners ask us about bank reconciliation

Does Orbit connect to my bank account?

No. You download the statement from your own net banking and import the file. Orbit never asks for a bank login, and there are no bank-feed charges. Live bank feeds may come later as a paid add-on.

Which banks’ statements can I import?

Any bank whose net banking exports a CSV with a date, a narration and the amounts — as withdrawal and deposit columns or one signed amount. Orbit recognises the usual column names Indian banks use. PDF and Excel statements are not read yet; download the CSV.

How big a statement can I import?

Up to 20,000 lines or 5 MB per file — a year of a busy current account. Auto-match runs on up to a quarter at a time and the reconciliation view on up to a year. These limits keep the back office from ever slowing a bill at the counter.

Will auto-match clear something wrongly?

It is built not to. A line is cleared automatically only when exactly one book entry has the same amount within five days. If two entries could fit, the line waits for a person to choose.

Is it only for retail shops?

No. Distributors and manufacturers have bank reconciliation as standard. A retail shop gets it by turning on Cash & Bank control, which also brings pickups to the safe and the drawer limit.

Does a cashier need the owner present for every pickup?

A manager is enough — any user with the manager or admin role, other than the cashier handing the cash over. That is the point: two people count it, and the log names both.

Does it work offline and in the cloud version?

Yes. Reconciliation and pickups run on the offline desktop and on the cloud version, and a pickup at a second counter is counted against that counter’s drawer and the shop’s one safe.
